Receptions
If you expect 100 participants, you will need an 900 square foot meeting room. This same formula applies to Theater Style. The most comfortable receptions allow 7-9 square feet per person. Any more than that your group will look very small compared to the size of the room. With receptions and theatre style setups, you must make allowances for staging (in theatre style) and tables (reception).
Staging
To calculate staging, take the entire width of the meeting room where the stage will be set and multiply this by the depth of the stage + at least 4 feet for aisle space and subtract this from available square footage of the meeting room, then proceed with your calculations for available seating. This formula also applies to other meeting room setups for classroom style, banquet style, etc. For example: The stage is 10 feet deep and the meeting room is 25 feet wide, the meeting room is 3000 square feet.
10′ deep + 4′ aisle space = 17
14′ x 25′ wide = 350 square feet
so
3000 square feet - 350 square feet = 2650 square feet for seating
If you wish to have a few tables with chairs at a reception, the formula for rounds of 8 or 10 (# tables x 96 or 120) add this to the reception formula (# participants x
to get the total square footage necessary. You expect 100 persons at your reception and you want 3 round tables for 8 set in the room, you will need a 1088 square foot room.
