Hollow Square (H/S)
The hollow square setup is nice for educational sessions, large committee meetings, Board of Director or staff meetings. The setup consists of 6 foot or 8 foot tables arranged with open space in the center. Generally plan on 37.5 square feet per person. Aisle space around the perimeter of tables should be at least 4 feet. This formula provides for aisles. Capacities can be figured as follows:
# participants x 37.5 = square feet
or
square feet / 37.5 = # of participants
If you have a meeting for 40 people, you will need a meeting room that is 1500 square feet to comfortably accommodate your needs.
TipYou can seat people in the inside of the hollow square. This works well with meetings where small groups need to gather during the larger session. By placing chairs inside the square, each small group will have their own discussion and work area.
There are many variables involved in working out your specific needs. The above guideline will assure adequate space, details can be worked out with your on-site person.
